Requests for direct SQL access are submitted via ServiceNow.  Before requestor can complete the submission request for access, ServiceNow will require the requestor to attach the following documentation:

  1. Use Case
  2. Agreement

Once submitted, the user will receive an email acknowledging their submission.  The panel responsible to review use cases and make a recommendation of approval or denial meets weekly. Although approval can at times be more frequent, users should expect a disposition of their approval decision within seven business days from submission.  In the event of other extenuating circumstances requiring a longer turnaround time for the decision, users will be contacted regarding the delay. 

The review panel is (to be) chartered under the Duke Health Data Council and includes representation from the School of Medicine, the CAIO office, DUHS Compliance office, and the CAO office.

Items considered in the decision to approve access include:

  • Availability of the data needed to answer the question
  • Appropriateness of direct SQL access (i.e., can the needed data be obtained by the user another way)
  • User’s technical experience successfully extracting complex data using SQL
  • Epic certification status
